Example E-mails

Here are six sample emails that you could use when reaching out to your assigned alumni. Each has different ideas and focuses so you may want to read all of them and mix and match the ideas that you find more compelling. Of course, you may also write your own message too. Depending on your relationship with the alumna/us you are contacting, the message may be very different. These are merely meant to be helpful in giving you an idea of what to include in your emails to your assigned alumni.

Don’t you want to be part of the “in” crowd?

Hey ____,

Don’t you want to be part of the “in” crowd? Make your gift to CWRU today and you will be! I am writing as a newly appointed INbassador for our city. As an INbassador, I have been tasked with educating you and engaging you in the mission of the CWRU Annual Fund. The Annual Fund supports many important initiatives on campus including financial aid, scholarships, the libraries and operating costs. When we ask for donations, we like to keep in mind our own experience at CWRU. Past alumni donors made your education possible and now it’s time to pay it forward. Our goal for this year is 23% total alumni participation. A gift of any size affects participation rates and helps our school. Every contribution has an impact. In the past two years CWRU has been moving up in national rankings.

Dear _____

In the past two years CWRU has been moving up in national rankings. Directly tied to these upward moves is alumni participation percentages. We want to continue on this path so we are trying to reach 23% participation this year. Giving back means more than just rankings though. The Annual Fund helps close the gap between actual operating expenses and tuition. A Gift of any size matters. For some, this may be a gift of $10 per year or perhaps $10 a month is right for you. Every gift goes toward sustaining CWRU’s unparalleled excellence. Please consider giving back this year. To make your gift right now visit case.edu/giving.

I am ____ and am currently working as an INbassador for CWRU.

Hi ___,

Hi, I am ____ writing to you as our city's INbassador for CWRU.

Dear _____,

Hi I am ____ writing to you as our city’s INbassador for CWRU. I want to tell you about why it is really important and exciting to give back this year. Supporting the Annual Fund helps bridge the gap between true operating costs and tuition. It also helps fund scholarships and financial aid. I feel really strongly about giving back to a place that I benefitted from in such an important way. Financial Aid was the only reason I got to attend CWRU. This is why I give back, to ensure that other students will have the same opportunities. What inspires you to give? When making a gift you can choose where it is designated so you too should support an area of CWRU that you are passionate about. I urge you to join in and give back this year. Visit case.edu/giving to make a gift today!

Thanks,

I am ___, a fellow CWRU alum living in ___ too.

Hi _____,

I am _____, a fellow CWRU alum living in_____ too. I wanted to reach out to you and inform you about why giving back to our alma mater is so essential. I know that the constant solicitations can get tiring, especially as a young alum who may not have much disposable income. However, I am here to tell you that it’s not about how much you give, it’s about the fact that you do give. Your gift of any size supports current and future students, faculty and staff, scholarships, libraries, athletics and much more. Not to mention, it increases our alumni participation percentage that affects our rankings, which influence bigger corporate and foundation donors’ decisions. I really hope you will consider foregoing a Starbucks or a drink out on the town this weekend and support a place that means a lot to us. Visit case.edu/giving to make a gift.

Thank you,
