General Information


Accommodations

We highly recommend that conference registrants stay at “The Village at 115” at Case Western Reserve University. There are 7 air-conditioned residential “houses” which offer wireless access, campus and local phone service, linen service, ATM, and easy access to campus shuttles and public transportation. Also available for your recreation are an outdoor track and a fitness center. All Case Western Reserve University facilities are non-smoking, including accommodations at The Village. In addition, the Village at 115 is within walking distance to many of the University Circle institutions and museums for your enjoyment while in Cleveland.

Registration and Housing Check-in Desk (map)

The street address for registration for both the conference and housing is: CWRU, Wade Commons, 11451 Juniper Drive, across the street from The Village at 115. Specific registration times are shown below, but the registration desk will be open and staffed by the Housing Office from 8:00 am to 9:00 pm every day. There will also be someone available for questions or general assistance at the lecture sites each day. Check in times are as follows:

Badges

Participant name badges will be provided at the registration desk. All participants are requested to wear the badge throughout the congress. Only badge holders will be admitted to the sessions and the social events.

Oral Presentations

Oral presentations will be 7 minutes followed by up to 3 minutes of discussion. We know that you realize the importance of keeping to your allotted time. The appointed chairmen for your session will be instructed to enforce these time slots, no excuses!

A PC-based platform with Microsoft PowerPoint will be the ONLY available system at the meeting for the presentations. Please bring your presentations on a USB-stick or a CD prior to your oral session. Computers will be available at a “speaker-ready” area for checking your presentation. Information regarding downloading of your file to the presentation computer will be available at the conference site.

Invited Speakers

Each invited lecture is a 20 minute talk followed by up to 10 minutes of discussion. It is extremely important to keep to the allocated time (30 minutes) in order to keep to the meeting schedule! Again, a PC-based platform with Microsoft PowerPoint will be the ONLY available system at the meeting for the presentations. Please bring your presentations on a USB-stick or a CD prior to your oral session. Computers will be available at a “speaker-ready” area for checking your presentation. Information regarding downloading of your file to the presentation computer will be available at the conference site.

Manuscript Submission

All participants whose abstracts were presented at the meeting are eligible to submit a manuscript for publication in the hardcover proceedings volume published by Springer Publishers. The manuscript must be CAMERA-READY and submitted no later than by the end of the conference, both as a printed paper version (2 copies) and on a CD (manuscript in Microsoft Word format) to the manuscript desk close to the registration desk.

Please follow the instructions carefully when preparing your manuscript. Please also print, sign and deliver the Copyright Transfer Form with your manuscript. All manuscripts will undergo a peer-review process and proofread prior to acceptance. The organizers of the meeting will not delay the publication of the proceedings volume to compensate for those who do not submit in time or do not respond promptly to possible necessary changes to be made to the manuscript.

Meals and Coffee Breaks

There will be a Welcome Reception on Sunday, July 5; dinners on Monday, July 6 and Tuesday, July 7; and the Banquet and Awards Ceremony at the Rock and Roll Hall of Fame on Thursday, July 9. Breakfast will be provided Monday through Thursday mornings. There will be morning and afternoon coffee breaks and most of the lunches are included in the registration fee. If the Starbuck’s Coffee at The Village at 115 is open, the convenience store nearby should be open also. The residence halls have unfurnished kitchens.

Checks

Personal or company checks or foreign currency cannot be accepted at the registration desk and at most places in Cleveland. Payment for the registration fee is by credit card.

Credit Cards

All major credit cards are accepted in almost all shops, restaurants, taxis, etc. though many of the smaller, local restaurants and cafeterias on campus do not take credit cards.

Currency

The official congress currency is the United States dollar. Information about current exchange rates can be found at the MSN Currency Converter.

Dress Code during the meeting

There is no dress code for the meeting, just dress comfortably.

Electricity

The electrical current in the United States is 120V, 60 Hz. The electricity plug is the “USA” type. Please bring an adaptor for your electrical needs as they are not provided on site.

Insurance

The congress organizers cannot accept any liability for personal injuries sustained, or for loss or damage to property belonging to congress participants (or their accompanying persons), either during, or as a result of, the congress. Registration fees do not include insurance. We strongly recommend that at the time you register for the congress and book your travel you also check the validity of your own travel and medical insurance.

Internet Access

Wireless and high-speed internet connections on computers in the lobby near the Registration Desk in Wade Commons will be available for your use without a Case Western Reserve University account. There is wireless service available in every building on campus.

Language

The official conference language is English.

Parking

Parking is available in the garage (Lot 46) near the Village at 115 residence halls for $17.50 for the week if arranged in advance, or $10 daily. Please let us know if you require parking at the time you register for the conference.

Photograph

A group conference photo will be taken during the conference and details will be announced.

Posters

Space for poster presentations will be provided near the conference meeting room. The poster boards are 40 x 60 inches and push pins will be provided.

Special Requirements

Anyone requiring special arrangements in order to fully participate in the congress should notify us with a written description of the needs on the registration form.

Time

The time in Cleveland, Ohio coincides with the Eastern Time Zone and will be Eastern Daylight Time.
