Records Disposition Schedule

 

Do not destroy records that are part of - or you are aware that they will be part of - any legal action, audit, investigation, or review.

Litigation Records

Description Documents litigation brought by or against CWRU, including:
  • investigations
  • motions and briefs
  • proceedings
  • decisions, resolutions and settlements
Confidential Information Present

Lawyer-client privilege
Personally identifiable health information
Personally identifiable (non-directory) student information
Salary, employee evaluations

Office of Record Office of General Counsel
Other Offices Convenience copies maintained by other units should be destroyed by shredding or file wiping when no longer needed for administrative purposes. Convenience copies should be kept no longer than the periods specified for the Office of Record.
Keep 15 years after close of the case, then transfer to University Archives for permanent retention.

Documentation of resolution of the case, including:
  • Settlement agreements
  • Notices of dismissal
  • Stipulations of dismissal
  • Judgment entries
  • Orders
  • Consent orders
Keep 15 years after close of the case, then destroy. Destroy by shredding or file wiping if confidential information is present.
  • Investigative materials
  • Attorney work product
  • Motions and briefs
  • Proceeding transcripts
  • Related correspondence and email
