Introducing New Staff Members in UGS

We are pleased to announce two new staff members in the UGS Office!

Denise Butler is a new Assistant Dean if the Office of Undergraduate Studies. She will be working with upperclass students whose last name begins P-Z. To schedule an appointment with her, please call 368-2928 or stop by the UGS Office.

Steven Scherger, whom you may know from your first year, will be in a newly created position,Director of Health Career Advising as of February 1, 2011. He will be taking over the advising responsibilities for all pre-health advising, EXCEPT for current seniors, who will continue to work with Dean DiIulio.

Mr. Scherger will be available for pre-health appointments beginning February 1, 2011. You can call the UGS Office at 368-2928 to schedule an appointment.

Class Schedules

Please verify your class schedule in SIS by 5pm on January 21, the last day of the add/drop period.

Things to look at:

  1. Verify you are in all the classes you think you are in. Make any add/drop changes.
  2. Make sure you are registered for the right section number when there are multiple sections.
  3. If you are on a wait list for a class or waiting for a permission for a class, all changes must be completed by 5pm on January 21.
  4. If you are taking classes at CIM, make sure you are registered at both Case and CIM.
  5. Make sure to register for PHED and music ensemble classes.
  6. Verify the number of credit hours you are in for courses that have variable hours (including independent study and music ensembles)


Remember students can take up to 19 hours without needing an overload. While the normal course load for students is still 14-18 hours, you are able to enroll in up to 19 hours. However, before you start enrolling in more than 19 hours, I would urge you to ask yourself do I really need that extra course? Could I be spending time doing community service, volunteer work, research, etc., that I will not have time to do if I am taking more than 19 hours.

Continuing students may carry 20-21 hours, if they have a cumulative gpa of 3.20 or better. To register for 22 or 23 hours, a minimum of average of 3.50 is required. Any schedule of more than 19 hours require's dean's approval.

If you meet the requirements to overload and you want to add a class now, you can email Dean DiIulio (Students A-G), Dean Hamel (Students H-O) or Dean Butler (Students P-Z) your request. Please include how many hours you are requesting, the class that you want to add and why. I may be able to approve your request online. Once approved, you still must go into SIS and register for that class.

Retaining Your Scholarship

As you are finalizing your courses for the semester, keep in mind the retention standards for your scholarship. There is both a gpa AND credit hour requirement. The retention standards for merit based scholarships (Full tuition, Trustee's, President's, Provost's and other merit based scholarships) are different from the first year.

At the end of each academic year (June), the records of all scholarship recipients are reviewed. To have a scholarship renewed for the following academic year, a recipient is expected to satisfy two requirements:

  1. A minimum number of hours earned after enrolling at Case. The requirement is 54 hoursby the end of the second year and 84 hours by the end of the third year. This does not include AP/IB/transfer or Pre-College Scholar credit earned prior to enrollment at Case.
  2. A minimum cumulative scholarship gpa of 3.00. If you have used the repeat option remember your scholarship gpa will include both grades;your cumulative gpa does not include both grades.

If you have a Provost's Special Scholarship, you must maintain academic good standing.

Please plan your schedule accordingly. For full scholarship retention standards, please see p. 80 in the 2009-2010 Student Handbook.

Changing An Incomplete Grade

If you received grades of I (incomplete) for any courses from the fall semester, you are expected to make the work up as quickly as possible. The amount of time allowed by a professor for making up an incomplete should be consistent with the length of the your absence(s) in the fall semester. The latest deadline by which work must be completed and grades reported is Friday, March 25.  may be considered by the Deans Committee in the Office of Undergraduate Studies only in cases where there are valid extenuating circumstances and a petition with appropriate supporting documentation (including a letter from the professor) has been submitted prior to March 25. Incompletes not completed by the deadline and for which no extension has been approved, will be converted to F grades.

Course Repetition

If you are dissatisfied with a grade that you received in an earlier course, you may choose to repeat that course. If you use the Course Repeat Option, the first grade will remain visible on the transcript, but will be removed from the calculation of your cumulative grade point average and from the semester in which the grade was first earned. The second grade will then be used for calculation into the cumulative grade point average and the semester in which it was earned.

The first grade will remain visible on your transcript, but there will be a notation under the course saying "Grade Not Counted. Course Repeated." When you look in SIS, you will see if the course repeat option was processed by looking at your unofficial transcript. The repeated grade does not disappear from the course history list; both grades will appear in that list. The repeat process is not run until the end of the semester after all final grades are in and posted.

If you have a merit based scholarship, both grades will be calculated into your scholarship gpa.

Completing your SAGES writing portfolio

If you have completed your first seminar and both of your university seminars, you should submit your writing portfolio by the end of January. Visit the SAGES portfolio web site for details on how and when you must submit your portfolio.

Graduating in May 2011? Have you completed Your Grad App?

If you are planning on graduating in May, 2011, there are two things you must look at and complete. (1) the application for graduation and (2) verifying your AA report is showing up as "all satisfied".

  1. Applying for Graduation should take no more than five minutes, however, it is an important process as it allows you to state how you want your name to appear on your diploma and to confirm the degree(s) you will be earning. You will see the Apply for Graduation" option in the academic drop down box in SIS.

    Please note that even if your AA report is not "all satisfied" you still can and should apply for graduation. Once your application is in, we can still work on making sure all requirements are met!

    Deadline for applying for graduation is February 1.
  2. Verifying your AA report is an important step. After you register for your spring classes, please double check your AA report to make sure that everything says "all satisfied". Reasons your AR report may not indicate everything is all satisfied include:

    • Missing writing portfolio- If you have not yet started this process, information on what you need to do to hand in your portfolio can be found here.
    • You have a class exception and you are currently in that class. The exception will not appear is SIS until you have a final grade in the class.
    • You need to submit an AR correction form.
    • You must drop a major or minor
    • There is AP, proficiency or transfer credit that is not posted
    • If you are repeating a course in your final semester, please make sure you have enough hours to graduate. Until the final grade is posted in the repeated class, credit hours from both class attempts are calculated into your overall hours. It is not until you have a final grade in the second class will the credits from the first attempt will be removed. Make sure you will have enough hours once those repeated hours are removed! If you have any questions, please see someone in the UGS Office before the end of the add/drop period.

If your plans have changed and you are no longer planning on graduating in May, please contact the UGS office so your SIS record can be updated to ensure that you can register for the summer and/or fall semester.


Study Abroad: Meet Representatives from Various Programs

Study abroad opportunities at Case span five continents. Study abroad offers you the opportunity to immerse yourself in another culture and university, as well as participate in internships and community service in a variety of fields, including business, engineering, policy development, and health education.

If you are interested in studying abroad, visit the Study Abroad web site or feel free to stop by 357 Sears and explore the Study Abroad Office; no appointment is needed. You can also email the JYA Office and make an appointment to talk with our student staff. All of the students have studied abroad and can give you some really good first hand information about their experiences.

The Office of Undergraduate Studies will host several study abroad visitors on campusduring the next few weeks.  If you are at all interested in studying abroad, including those in pre-med and pre-law, we would encourage you to attend.  Stop by for a few minutes to learn more about them!

Scholarships available for Second Year, Upperclass Students, and Graduating Women in the College of Arts and Sciences

There are various scholarships and research grants for which second year, upperclass students, and graduating women in the College of Arts and Sciences can apply including

Eva Pancoast Scholarship

In June, 1985, the Board of Trustees of Case Western Reserve University approved the establishment of the Eva L. Pancoast Memorial Fund by which women graduates of The College of Arts and Sciences and/or women students in The School of Graduate Studies at the University might be assisted in extending their education by foreign study or foreign travel, or both, at any time during the twelve months following their graduation, or, in the case of graduate students, in the twelve months following the current academic year.

The amounts of the fellowships vary, but generally range from $1,000-$3,500.  Those who receive awards will be required to submit a brief report of the project after its completion with reasonable documentary evidence of major expenditures.

Applications must be submitted by March 4, 2011 to the Pancoast Fellowships Selection Committee, c/o Lynmarie Hamel, Office of Undergraduate Studies, Sears 357.  All applicants will be informed of decisions as soon as possible, and public recognition will be given at the Honors Assembly for graduating seniors at the end of the semester

Peter Witt Scholarship

Are you involved in the community? Do you perform community service work in Cleveland or the greater Cleveland area? Are you interested in city planning or social work? The Peter Witt Scholarship recognizes students in the College of Arts and Science who are active members of their community. The scholarship can provide up to $5000 or more to deserving students to use towards tuition in their third year.

Students usually have above a 3.00 gpa and leadership experience in community service and leadership roles on and off campus.

Visit the Undergraduate Studies scholarship web page to see biographies of past winners, see the eligibility requirements and to download an application. The due date is March 4, 2011.

Merit Based Scholarships for Current Case Students

Case will award a limited number of scholarships for 2011-2012 and subsequent years for students who are currently enrolled at Case and who have completed a record of achievement, participation and leadership that distinguishes them from their peers.

What will be awarded:

  • One Trustees' Scholarship

  • Two President's Scholarships

  • Four Provost Scholarships

Eligibility requirements include

  1. Applicants must be US citizens or Permanent Residents
  2. Applicants must be a first, second or third year student in 2010-2011 who have not previously received a Trustees, President's, Provost's, FPB Scholarship or similar scholarship.
  3. Students who entered as first year students in the fall 2010 will need to have earned a cumulative gpa of at least 3.75 and at least 30 credit hours earned at Case in the 2010-2011 academic year (AP, IB and transfer credit hours will not be considered).
  4. Students who entered Case in the fall 2008 or 2097 will need to have earned a cumulative gpa of at least 3.75 and averaged at least 15 credit hours for each semester since enrollment at Case.

FUN Summer Jobs on Campus!

New Student and Parent Programs is always on the lookout for energetic, enthusiastic students who want to share the CWRU experience with new students and parents. Below is a list of available staff positions. Applications are now available for all positions!


    The Executive Board is comprised of students that ar committed to the orientation program. They serve as a steering committee for implementing, planning, and creating the program. The executive board also assists with the selection, training, and supervision of orientation leaders. They work together to welcome and reach out to new students and their families, while overseeing the facilitation of all summer orientation activities. Only previous orientation leaders are eligible to apply for a prestigious position on the executive board.

    Orientation leaders serve as representatives of the Case Western Reserve University Orientation program. Leaders work with new students in small groups and guide them through their transition at Case. They work in teams to assist with the facilitation of all Summer Orientation and Welcome Days activities.

    Students who have served as an orientation leader may apply to become a Case Venture leader. Leaders are responsible for guiding a group of students on one of the ventures that happen each summer.

Martin Luther King Jr. Celebration Week

Case is planning a weeklong celebration around Martin Luther King Jr. to honor the memory and spirit of Dr. King.

The weeklong celebration will include a variety of workshops, films, discussions, and speakers sponsored by various academic departments and schools, centers, offices, and student organizations. The annual MLK Convocation also will be scheduled in conjunction with Martin Luther King Celebration Week.

Celebrated American historian and author Nell Irvin Painter will deliver the keynote address at this year's Martin Luther King Jr. Convocation. Read about this year's featured speaker.

Jackson Award for Excellence in Undergraduate Mentoring

The Jackson Award celebrates those who have guided a student in their academic and career paths; fostered the student's long-term personal development; challenged the student to reflect, explore and grow as an individual; and supported and/or facilitated the student's goals and life choices.

The winners of the 2010 J. Bruce Jackson Award were William Deal from Religious Studies and Renée M. Sentilles from History.

Wittke Award for Excellence In Undergraduate Teaching
