Tableau (pronounced Ta-blow) is a visual analytics platform "transforming the way we use data to solve problems—empowering people and organizations to make the most of their data."
Tableau is an easy to use, web-based data visualization platform, that allows users to access data quickly and securely. Tableau can be accessed via web browser or mobile application 24 hours a day, 7 days a week, 365 days a year.
Through carefully curated, validated dashboards that contain university data assets, we as a community can have a common language to discuss situations and make data driven decisions across the university at all levels and divisions.
By allowing access to only those that should be permitted to see confidential and/or restricted internal data, Tableau's secure sharing and permission model aligns with the university Data Governance Program.
How Tableau Works
The Tableau Server is a secure portal that allows dashboards created in Tableau Desktop to be securely shared with other university staff from any browser or mobile device. It is a hosting platform where you store all of your Tableau dashboards, visualizations (also called workbooks or sheets), as well as data extracts that feed these visualizations. The CWRU Tableau Server is installed on an Amazon Web Services cloud instance and is managed by the Office of Data Management, Analytics and Visualization.
A Tableau Viewer license is for university employees to access university data and analytic insights to perform their job functions. This may be for routine operational tasks, compliance, or decision making across the institution. Viewers, when logged into the platform, access content that has been created by others. All CWRU employees have a Viewer license for our enterprise Tableau server (data.case.edu). If you believe you should have access to one of our other data portals that serves Student Health Services (healthdata.case.edu) or the School of Dental Medicine (dentaldata.case.edu), please contact our office for a consultation.
A Tableau Creator license allows individuals to create content that can be shared by publishing to a Tableau Server. This license type provides access to the Tableau Desktop application, Tableau Prep, as well as a connection to a CWRU Tableau Server to securely publish and share your analytics insights with others at the university. Tableau Creators connect to data sources, clean and merge data, design visualizations and dashboards for other to view and interact with. It may also include aspects of data governance and permissions modeling as well.
Employees that might be interested in a Tableau Creator license are business analysts, researchers, data engineers, finance analysts, or anyone that is interested in any type of data analysis.
Tableau Prep Builder
Tableau Prep Builder is a drag and drop interface designed to make preparing your data easy and intuitive. Analysts can use Tableau Prep Builder to combine, shape, and clean your data for analysis in Tableau and without altering your source data or requiring coding languages. Individuals that have purchased a Tableau Creator license can also download and use Tableau Prep Builder with the same license key.
Tableau CRM (formerly Einstein Analytics) is only available to Salesforce CRM users at the university. Tableau CRM license allows users to gain actionable insights and AI-driven analytics right in their Salesforce workflow and platform. Tableau at CWRU
CWRU maintains three separate Tableau Servers for the university business needs depending on the controls and restrictions required for different data types to meet security and compliance regulations. For the enterprise server, we prefer data to be copied into the enterprise data lake if dashboards are designed for production and use in operations or decision-making (see diagram below). This allows performance in native systems to be maintained as well as security.

Tableau for Free
Tableau Public is a free online platform to publicly share and explore data visualizations. Individuals that would like to try Tableau for free can download a version of Tableau Desktop Public Edition and create visualizations. You can create an account on Tableau Public to save and share these visualizations on a public server. There are some limitations with types of data that you can connect to and you are not able to save your Tableau files on a local drive. Care should be taken when saving or publishing to Tableau Public since it is an open, public server.
If you are a CWRU student interested in learning about Tableau you are eligible to receive one year of Tableau Desktop and Tableau Prep Builder for free directly through the Tableau for Students program. Similarly, if you are a CWRU instructor that would like to incorporate Tableau into one of your courses you can request licenses directly through the Tableau for Teaching program.
