Important: Registration Requirement for Specific International Visitors to CWRU
International visitors from ITAR countries who will be physically present on CWRU premises or in university facilities must be registered.
Dear Case Western Reserve University Faculty, Staff and Postdocs,
Each year, Case Western Reserve University welcomes many international scholars, lecturers and collaborators who enrich our campus by engaging in lectures, workshops, conferences and other academic activities. Their presence strengthens our teaching, research and global partnerships, and we deeply value their contributions to our community.
To support this important engagement, we are implementing a requirement to register international visitors from ITAR countries who will be physically present on CWRU premises or in university facilities on or after July 1, 2026. This step helps ensure compliance, safety and responsible stewardship of university resources. It also enables us to meet federal research and export control regulations, protect university intellectual property, and ensure appropriate access to facilities and campus safety.
Who needs to register?
International visitors from ITAR countries—regardless of the length of visit—must be registered. An international visitor is an individual that you invite or agree to host who is not a U.S. citizen or permanent resident (Green Card holder), plans to be on the CWRU premises for any period of time, and is not a CWRU student, an exchange student, postdoc, or employee.
What is an ITAR country?
An ITAR country is a nation designated under the International Traffic in Arms Regulations (ITAR)—U.S. federal regulations that govern the export and sharing of defense-related materials, technologies and technical data. Countries on the ITAR-designated list are subject to additional restrictions due to national security or foreign policy considerations.
When should registration occur?
Registration should take place before an invitation is formally extended to a visitor.
Who is responsible for completing the registration?
The hosting faculty member or sponsoring staff member will be responsible for submitting the registration.
What does the registration form include?
The form requests essential details such as visitor identification, purpose of visit, dates on campus, and activities planned while at CWRU.

Following this process will help protect both the university and our visitors by ensuring compliance with federal requirements, safeguarding research and intellectual property, supporting appropriate use of facilities, and promoting a secure and well-managed campus environment.
