Updated information on international travel registration requirements

All employees are required to register their CWRU-related international travel with the Office of International Affairs.

Dear Faculty,

As you begin making plans for travel during the upcoming Thanksgiving holiday and winter break, we want to provide a reminder and additional guidance regarding the university’s international travel procedures.

The guidance below is in addition to the existing International Travel Risk Management Policy. As outlined in that policy, all employees are required to register their CWRU-related international travel with the Office of International Affairs.

By pre-registering international trips, you receive several benefits, including security in knowing that Case Western Reserve is prepared to assist in the event of an emergency during CWRU-related travel. However, failure to register international travel may result in delays or loss of eligibility for reimbursement. Individuals who do not register may also become ineligible for future international travel privileges.

Additional Guidance on International Travel

Please review the following details which have been added or clarified since our April 2025 update. If you have any questions or concerns, please email global@case.edu.

Personal Travel to ITAR-Designated Countries

If your travel destination includes one or more ITAR-designated countries, registration for personal travel is required to enhance safety and/or to reduce security and compliance issues. Please note that registration for personal travel to ITAR-designated countries will not be evaluated for permission to travel, as we do not generally assess strictly personal travel. For the current list of ITAR-designated countries, please visit the ITAR Country List.

Approval and Disallowance

We know that international travel is a valuable part of your work and we want to make it as easy as possible for you to travel. We will strive to allow such travel to the maximum extent possible. However, we reserve the right to disallow CWRU-related travel if there are significant risks to personal safety, government regulations, and/or national security concerns. Decisions will be guided by a committee of university leaders from across administrative units.
