Learn about updates to the Google data access and deletion timeline at CWRU

Starting in early September, Google Workspace accounts at Case Western Reserve University that have been suspended for 18 months will begin to be permanently deleted. Once an account is deleted, all associated data for the account will be unrecoverable.

What this means for you

It is essential for all members of the university community to be aware of this upcoming timeline and to manage their Google Drive data accordingly.

  • For "Scheduled for deletion" files: If you have essential files shared with you in Google Drive that are labeled "Scheduled for deletion," create a copy to retain them or move them to a Google Shared Drive.
  • For departing colleagues/students: If you know a coworker, colleague or student who is leaving the university, please take proactive steps to:
    • Transfer ownership of important files.
    • Download necessary data.
    • Ensure proper backups are in place.

What you can do

For files from users who have recently left the university

To ensure continued access to necessary files, all faculty, staff and students should review any files marked as scheduled for deletion. Follow the steps on the Google Files Shared By Suspended Users webpage to find and safeguard these files from users who have left the university in the past six months.

For older files that are no longer visible

Use the new expiring files tool, which will show a list of people who have left the university and shared Google Drive files with you. Select the person’s name to see the file names and Google document ID. If there are files you wish to keep, send an email to help@case.edu, including the file name, the file owner’s Network ID and the Google document ID.
