Questions and answers for those hosting an event in 2021 at the University Center:
Through June 30, 2021 (and possibly longer), only departments and registered student organizations of Case Western Reserve University may host events at the University Center. Non CWRU groups are not permitted to host events at this time.
While still available 24 hours a day, 7 days a week, the University Center will remain locked all day. Only those with a valid CWRU ID will be able to gain access to the facility.
We will contact any Non CWRU group previously scheduled and make every effort to reschedule at a later date. If we are unable to do so, we will refund the deposit.
Due to social distancing protocols, the University must use any space of sufficient size to host classes, including the University Center. Formal in-person and streamed class instruction is the top priority over all other space use. When classes are not in session, rooms within the University Center can be reserved for other use, however, resets and sanitization protocols may limit their availability.
University Center staff will reach out to previously scheduled events in conflict with the new schedule and either find an alternative time to re-book or coordinate a cancellation. We recognize the frustration that these changes may generate and we appreciate your understanding with these changes.
Social distancing restrictions have greatly reduced the capacities of all our event spaces. These capacities, as well as sample floor plans, are available on our website. The distanced capacities are also reflected within the Spartan Reservation System when making any requests.
The Smith Commons will be unavailable to host any events this spring. Table top advertising will be unavailable as well.
All rooms will be fully sanitized prior to any event. Sanitization stations will be set up in each room that include wipes and disinfectant spray for guests. The same wipes and spray will be made available at all lecterns to allow presenters to sanitize A/V equipment between use.
Hand sanitizing stations have been added to the building. Paper towel stations have been added to restrooms.
The custodial staff frequently sanitize high touch point areas (door knobs, hand rails, elevator buttons, etc.) throughout the entire building multiple times per day.
Due to contact concerns, coat racks will not be available.
All guests will be required to wear a mask or face covering. If they are experiencing any COVID-19 symptoms, they should not attend. All guests will be required to abide by social distancing guidelines. Furniture cannot be moved during an event.
In the unfortunate instance that contact tracing is necessary, every event hosted at the University Center must require attendees to register and check-in when they arrive. The final attendance list must be provided to University Center staff no later than two business days after the event has concluded.
Yes, we will work with MediaVision to make this possible. Please let us know of this interest at the time of reservation to ensure they are available. Fees will apply.
Bon Appetit is still the exclusive caterer of the University Center. Catering options are still available, but the delivery of all meals must be done using a closed container. Please contact Bon Appetit to discuss your event’s needs.
