Music Office & Communications Assistant

Supervisor: Jennifer Wright <jmh207@case.edu>
Eligibility: Open to all CWRU students. Students with interests in music, arts administration, marketing, communications, business, or operations support are especially encouraged to apply.

Position Overview
The Music Office & Communications Assistant supports the daily operations, communications, and recruitment efforts of the Department of Music. Students in this position provide administrative support, help create and distribute digital and print content, and serve as welcoming, knowledgeable representatives of the department for prospective students, families, and visitors.

This role provides hands-on experience in arts administration, marketing and communications, event coordination, recruitment, and music operations, while building professional, communication, and leadership skills.

Responsibilities

Office & Administrative Support

  • Greet and assist students, faculty, staff, and visitors
  • Answer phones and emails; provide information or route inquiries as needed
  • Maintain office organization, shared files, calendars, and supplies
  • Assist with copying, scanning, filing, data entry, and other administrative tasks
  • Prepare materials for meetings, classes, events, and departmental reporting

Marketing, Social Media & Communications

  • Create and schedule social media content highlighting concerts, events, student and alumni updates, and department news
  • Assist with marketing and communications for concerts, programs, recruitment activities, and special events
  • Create and update digital signage, posters, flyers, and other promotional materials
  • Coordinate CampusGroups event listings, departmental announcements, and digital content
  • Help distribute and maintain promotional materials across campus
  • Contribute ideas and content for departmental marketing, communications initiatives, and special projects

Student Ambassador & Recruitment

  • Represent the Department of Music at open houses, admitted student programs, campus visits, information sessions, and other recruitment events
  • Welcome prospective students and families and connect them with appropriate resources
  • Provide tours of music facilities and answer general questions about academics, ensembles, lessons, performances, and student life
  • Assist with Music Overviews, student panels, visits, and recruitment programs
  • Help promote and represent the department across campus and online

Programs & Event Support

  • Assist with concert programs and other event materials
  • Support special events through set-up, check-in, hospitality, and guest assistance
  • Support Recital Class by preparing programs, taking attendance and notes, and assisting with class logistics
  • Help coordinate supplies, schedules, materials, and communications for departmental activities

Schedule & Hours

  • Office & Communications shifts: Scheduled primarily during weekday business hours to provide consistent office coverage, with occasional evening or event-based shifts. Availability is required for Recital Class, which meets on select Fridays during the exam block.
  • Student Ambassador shifts: Scheduled on a flexible, as-needed basis based on campus visits, recruitment programs, open houses, and other departmental activities. Some weekend availability may be required.

Previous experience with social media, graphic design, photography, video, or digital content creation is strongly preferred. Applicants should be comfortable creating engaging content for digital platforms and interested in contributing to the department’s communications and marketing efforts. 

Growth & Development

The first semester of employment focuses on training and onboarding across office operations, communications, events, and recruitment. As students gain experience, they may take on increased responsibility, including developing social media content, supporting larger marketing and recruitment projects, coordinating departmental initiatives, and helping train or mentor new student staff.


Music Operations & Events Team

Supervisor: Nicholas Strawn <nas158@case.edu>

Description
Provide support services for facilities operational activities, ensemble rehearsals, and/or concerts. Follow/enforce policies, ensure smooth building operations, lock/unlock rehearsal rooms, conduct room checks, assist backstage during concerts, communicate with concert guests, and assist with projects as needed.

Hours
Flexible afternoon, evening, and weekends as scheduled. Regular weekly shifts are scheduled for the entire semester, typically 4-8 hours per week. Live concerts and events will supplement the regular weekly hours, up to an additional 4-8 hours per week during peak performance season. Hours vary depending on the calendar of events and staff availability.

Who We're Looking For
Motivated students to assist with daily operations (weekly rehearsal set-up/breakdown, building security, etc.) and to support live events (stage management, front/rear of house duties, guest experience, etc.). Team members must enjoy working with the public, demonstrate excellent customer service skills, and understand performance etiquette. This position requires leadership, responsibility, professionalism, dependability, and punctuality. Team members must remain on-site for the entire assignment, wear appropriate attire, and have a welcoming presence.


AV Technician 

Supervisor: Hudson Brett <htb11@case.edu>

Description
Provide audio recording and live stream services for ensemble concerts, student recitals, and recording sessions. Move equipment during events, demonstrate equipment to users, and complete post-production work. Coordinate weekly (with supervisor) for assigned work and provide updates on completed work. Students may pair this position with the Operations/Events Team or Computer Lab Monitor.

Hours
Flexible evenings and weekends (cover events as needed). Events are typically more frequent toward the end of each semester (Fall: Oct-Dec/Spring: March-May). Time commitment per concert or recital is approximately 2-4 hours.

Who We're Looking For
Reliable students eager to learn (knowledge of fundamental recording techniques is preferred but not required). This position is responsible for setting up, installing, operating, testing, and troubleshooting audio microphones, speakers, projectors, monitors, recording equipment, and cables/wires. With guidance from the professional audio engineer, students will perform proper line and sound checks (volume settings, comping, mixing, and mastering), adjust levels as needed, note any faulty/broken equipment, organize equipment for the next service, and properly clean/store equipment. This position requires responsibility, professionalism, dependability, and punctuality. Individuals must work independently, keep an accurate schedule, arrive on time, meet deadlines, prioritize jobs, and interact with the general public, students, faculty, and other staff members.
