The Department of Music is committed to maintaining a safe, secure, and productive environment that supports musical learning, creativity, and performance. We strive to provide equitable access to our facilities while preserving department resources and upholding university policies.
Card-swipe access to Haydn Hall and Denison Hall is automatically granted to music majors and is renewed each academic year through graduation. Students enrolled in music ensembles (MUEN), applied lessons (MUAP), or group classes (MUSP) receive building access beginning on the Monday following the fall semester drop/add period.
Building access is based on current enrollment and university affiliation and may expire or be revoked if a student's enrollment, position, or university status changes.
Building Access & Services
Music faculty and music majors have priority access to departmental spaces. All users are expected to respect our buildings and spaces, university policies, and fellow members of the CWRU community.
Use of Department Spaces
- Department facilities should be used only for activities consistent with the registered purpose of the organization or approved reservation.
- Storing equipment or personal items before an event is generally not permitted.
- Property owned by the Department of Music may not be removed from classrooms, rehearsal spaces, or buildings without permission from the Music Office.
- Academic classes, lessons, and ensembles have scheduling priority. Please allow adequate transition time between reservations.
Food & Beverage
- Food and beverages are not permitted in classrooms or practice rooms, with the exception of sealed water bottles.
- Alcohol is prohibited in all department facilities unless specifically authorized by the university.
- Refreshments or catering must be approved by the Music Office in advance.
- Garbage bags should be placed in the designated collection area. Additional bags are available by request.
- Event organizers are responsible for cleaning the space and removing all trash. Failure to do so may result in additional custodial charges.
Care of Facilities & Equipment
- Do not place items on top of keyboard or percussion instruments.
- Do not use tape, nails, staples, glue, or other materials on walls, floors, woodwork, glass, or other surfaces.
- Return furniture and equipment to their original locations after use.
- Leave rooms clean and ready for the next user.
Safety & Security
- Keep exterior doors closed and never prop them open.
- Keep classroom and studio doors closed while rehearsing or practicing to minimize noise disruption.
- Secure rooms and equipment before leaving.
- Do not leave personal belongings unattended. The university is not responsible for lost or stolen items.
- Smoking, vaping, and open flames (including candles, incense, lanterns, and torches) are prohibited in department facilities.

Animals
Only service animals performing tasks for an individual are permitted inside department buildings. Pets are welcome on campus grounds when leashed and properly attended but are not permitted inside department facilities.
Lost & Found
Lost items may be turned in to event staff or delivered to the Music Office (Haydn Hall 103) during regular business hours.
Quiet Hours
University quiet hours begin at 11:00 p.m. To allow sufficient time for cleanup and building closure, department activities are generally scheduled to conclude by 10:00 p.m.

Policy Violations
Failure to follow department or university policies may result in the suspension or revocation of access to departmental facilities. When appropriate, a written warning may be issued before access privileges are revoked.
To request card-swipe or after-hours access to Haydn Hall or Denison Hall, complete the Music Building Access Request form.
If you need access for the summer term, please submit your requests by May 15.
Note: If you plan to enroll in music ensembles (MUEN) or applied lessons (MUAP) for the fall semester, you do not need to submit a separate access request. Eligible students will automatically receive building access according to the department's access schedule.
Building Hours
The Department of Music's buildings are generally open during the following hours:
- Monday–Friday: 8:00 a.m.–6:00 p.m.
- Harkness Chapel/Classroom: Open until 9:00 p.m. on weekdays
- Weekends: Card-swipe access only for authorized users
Department buildings remain locked after hours and during university holidays or campus closures unless special open hours have been requested and approved.
Unlock Requests
If your event is scheduled outside normal building hours or on a weekend and you expect guests who are not affiliaes of the CWRU community, please coordinate in advance with Nicholas Strawn, Performance & Operations Assistant, to arrange building access or request that the building be unlocked.
Advance notice is appreciated to ensure appropriate staffing and building access can be arranged.
Individuals who do not have a CWRU or CIM ID card may be eligible for a Department of Music Affiliate ID if card-swipe or after-hours building access is required.
To request access, affiliates should submit the Music Building Access Request form. The Music Office will coordinate the request with Access Services.
Once approved, Access Services will notify both the Music Office and the affiliate when the ID card and credentials are ready. Please allow several business days for processing.
Controlled access to secure rooms and storage areas in Denison Hall, Haydn Hall, and Harkness Chapel is available to students with an academic or performance-related need and is granted at the discretions of the Department of Music operations staff.

Requesting Access
To request access, students must review the terms and conditions and submit the Secure Room & Storage Access Request Form.
Access is granted only to individuals with an authorized need for these facilities. University-recognized student organizations and activity groups are not eligible for controlled access.

Music majors whose primary instrument is harp, along with students enrolled in harp lessons or ensembles who are approved to use school-owned harps, will be granted access to the Harp Storage lockbox. For lessons and individual practice, rehearsal rooms in Denison Hall may be reserved in advance, and walk-in use is permitted when a room is available.
Instrument Access
Before access can be granted, students must review the terms and conditions and submit the Secure Room & Storage Access Request Form. Upon submission and approval by the harp instructor and orchestra director, students will be granted the necessary building and Harp Storage access.
Instrument Care
Students are responsible for the proper care and security of any school-owned harp they use. Any damage, maintenance concerns, or other issues should be reported immediately to Nicholas Strawn, Performance & Operations Assistant.

To ensure equitable access and the responsible use of departmental percussion facilities and equipment, the following policy applies to all percussion students at CWRU.
Music majors whose primary instrument is percussion, along with students enrolled in percussion lessons, will be granted access to the Percussion Studio lockbox. The Percussion Studio may be reserved for lessons and individual practice, and walk-in use is permitted when the room is available.
Percussion Studio Access
Before access can be granted, students must review the terms and conditions and submit the Secure Room & Storage Access Request Form. Upon submission and approval by the percussion instructor, students will be granted the necessary building and Percussion Studio access.
Ensemble Rehearsal Access
Students performing percussion or drum set in department ensembles may rehearse in their assigned ensemble rehearsal spaces by reservation. Walk-in use is permitted when the room is available. A building monitor or professional staff member can assist with room access and equipment, including drum set lockers and percussion storage cages.

Practice Rooms in Haydn Hall and Denison Hall are available for:

- Non-majors currently enrolled in applied lessons (MUAP), ensembles (MUEN), or group classes (MUSP)
Practice rooms are reserved for authorized Department of Music users and are not open to the general public.
Practice Room Locations
- Denison Hall: Six practice modules with digital pianos
- Haydn Hall (2nd Floor): Four practice rooms with grand pianos
Walk-In Use & Reservations
Practice rooms are available on a first-come, first-served basis, and walk-in use is welcome whenever a room is available.
Reservations are intended only for special or recurring academic needs that cannot reasonably be accommodated through walk-in use, such as:
- Scheduled practice sessions
- Accompanist rehearsals
- Coachings
- Remote (Zoom) lessons
- Other approved instructional activities
Beginning the Monday following the fall semester drop/add period, students experiencing problems with card-swipe access should contact to music+facilities@case.edu or submit the Music Building Access Request form. Please include your name, CWRU Network ID and 7-digit ID number, and a brief description of the issue to help us resolve your request as quickly as possible.
All other affiliates should email music+facilities@case.edu.
While most departmental spaces are accessed using card-swipe or secure lockboxes. However, some offices, studios, and specialized spaces require a physical university key.
Requesting a Key
Faculty, staff, and other authorized users who require a physical key should submit a Key Request form.
Please submit requests at least two weeks before the key is needed. During peak periods, particularly at the beginning of the academic year, processing by Access Services may take several additional weeks.
Key Pickup
Once approved, the Music Office will submit the request through the university's electronic key management system.
When your key is ready, Access Services will notify you by email. Keys must be picked up in person at Access Services (Crawford Hall) with a valid CWRU ID.
Keys should be picked up within 45 days of notification. Keys not claimed within this period may be returned to the department, requiring a new request.
Key Responsibilities
Individuals issued keys are responsible for their security and proper use.
- Keys may not be duplicated, loaned, or shared.
- Lost or stolen keys must be reported immediately to Nicholas Strawn, Performance & Operations Assistant.
- A $50 replacement fee applies to lost or duplicate keys, as well as keys not picked up within 45 days.
Returning Keys
Keys must be returned to Access Services when employment, enrollment, or departmental affiliation ends, or when transferring to another department.
If you are unable to return your key in person, please contact Nicholas Strawn to make alternate arrangements.
After returning your key, email your key return receipt to Nicholas Strawn.
Failure to return issued keys may result in replacement charges and will be reported to the Department Chair and the Dean of the College of Arts and Sciences.

Performance Venues
All performances held in the Maltz Performing Arts Center or Florence Harkness Memorial Chapel are part of the CWRU Music Concert Season—free and livestreamed for the community to enjoy.
For a unique experience in Cleveland, you can also hear our students and faculty perform chamber music at museum galleries or jazz and pop music at notable venues like Grog Shop, Bob Stop, or Happy Dog.

Resources and collections for the research/study of music exist in Kulas Music Collection (Kelvin Smith Library at CWRU) and Robinson Music Library (Cleveland Institute of Music).
