Additional Reporting

The Office of the University Registrar supports faculty, staff, departments, and schools by providing data related to student enrollment, degrees and credentials, as well as the course catalog and schedule of classes. This data can be obtained through different systems. Qlik, a data visualization tool, can be used to view and filter student records data. SIS, the Student Information System, has existing PDF reports and queries. See options below grouped by category.

Advisor/Advisee data can be found in the following places:

Qlik - SIS Student Records (Live) Stream > Student Information App > Advisor Info Sheet - all active students and all advisors assigned to them currently (or as of the end of historical terms). Users can view all advisors assigned to a selected group of students, or filter on the advisor and view all students assigned to a particular advisor.

SIS (PDF Reports) - Reporting Tools > BI Publisher > Query Report Viewer >

  • CW_ADVISEES - all active student with advisors.
  • CW_ADVISOR1 - all advisees for a specific advisor.
  • CW_ADVISORS - advisors with advisees.

SIS (Queries) - Reporting Center Tile > Advising Reports

  • CW_SR_ADVISEES_W_HOLDS - advisees with holds and their advisor
  • CW_SR_ADVISEES_W_INCOMPLETES - advisees with incompletes

Awarded Degrees and Credentials/Degree and Credential Candidates data can be found in the following places:

Qlik - SIS Student Records (Live) Stream

  • Awarded Credentials > Awarded Degrees - degrees and university-awarded certificates that have been conferred from Summer 2008 to the present.
  • Awarded Credentials - Post-Graduate Planning > Awarded Degrees - degrees and university-awarded certificates that have been conferred from Summer 2008 to the present. It includes email addresses and phone numbers. This app is only available to users in the Post-Graduate Planning and Experiential Education Office.
  • Degree and Credential Candidates >
    • Degree Candidates by Plan - Active degree- or certificate-seeking students who have an expected graduation term. This report contains cumulative GPA, cumulative units earned, and degree checkout status.
    • Degree Candidates by Subplan - Active degree- or certificate-seeking students who have an expected graduation term and subplan.
    • Degree Candidates by Degree - Active degree- or certificate-seeking students who have an expected graduation term. This is an unduplicated list by degree/certificate.

  • CW_ADV_DEGR - advisees with awarded degrees.

Enrolled Students/Student Schedules data can be found in the following places:

Qlik - SIS Student Records (Live) Stream > Student Information App >

  • Academic Plans with Hours and GPA - all active students and includes all plans in which they are currently active (or were active as of the end of historical terms). It includes cumulative GPA, units taken in the selected term, and cumulative units taken. Users can select one or more terms Fall 2008 or later.
  • Subplans - all active students who have subplans.
  • Classes Taken - all active students and classes taken, including grades, units and instructors.

SIS (PDF Reports) - Reporting Tools > BI Publisher > Query Report Viewer >

  • CW_ENRLD_HRS - enrolled students with hours and GPA.
  • CW_ENRLHRSSP - enrolled students with hour and GPA and subplan(s).
  • CW_FYADV_SCH - first year advisees schedules with grades.
  • CW_SCHED_ADV - student schedules by advisor.
  • CW_SCHED_ DPT - student schedules by department.
  • CW_SCHED_GRP - student schedules by student group.
  • CW_SCHED_ID - student schedules by student ID.
  • CW_SCHED_PRG - student schedules by program plan.

SIS (Queries) - Reporting Center Tile > Admin Center Reports

  • CW_SR_ENRLD_HRS_GPA - enrolled students by prompted term and academic program or plan with student ID, net ID, class standing, enrolled hours, cumulative hours and cumulative GPA.

Schedule of Classes/Course data can be found in the following places:

Qlik - SIS Student Records (Census) Stream > Course Summary by Department >

  • Course Summary by Subject - total student enrollment for each subject as of the third week of classes during the Fall and Spring semesters and as of the fifth week of classes during the Summer term.
  • Course Summary by Class - total student enrollment for each class as of the third week of classes during the Fall and Spring semesters and as of the fifth week of classes during the Summer term.

SIS (PDF Reports) - Reporting Tools > BI Publisher > Query Report Viewer >

  • CW_CRSE_INFO - course information.

SIS (Queries) - Reporting Center Tile > Advising Reports

  • CW_SR_CRSE_LAST_TAUGHT - this query returns the last time a course was taught and had enrollment.  This will only be 100% accurate back to Summer 2008 when SIS was implemented as course enrollment prior to Summer 2008 is not complete in SIS.
  • CW_SR_LAST_TAUGHT - course offerings by subject with last term the course was offered.
  • CW_SR_SOCWC_ERROR - SOC errors.
  • CW_SR_SOCWC_TBA_W_UREG_REQ_RM - class Sections where Facility ID is set to TBA and requested room is UREG room.
  • CW_SR_SOC_SUMMARY_RESULTS_BIP - class search by term and, optionally, subject, career, academic group, and/or academic organization.  Results show dates and times classes are offered, room, instructor, enrollment capacity and total enrollment for the section and combined sections.

SIS (PDF Report) - Reporting Tools > BI Publisher > Query Report Scheduler

  • CW_ACCT_DATA - student account data.

Running this report for the first time requires the creation of a new run control.

  1. Click the Add a New Value tab and enter a Run Control ID and click Add.
  2. Enter the report name, CW_ACCT_DATA. You will be prompted for the Term. You may also enter Program and/or Plan and click OK.
  3. When you've added your prompt value(s), click Run.
  4. Click OK and then Process Monitor. You should see the report processing.
  5. Click Refresh until the Run Status changes to Success and the Distribution Status changes to Posted.
  6. Scroll to the bottom of the page and click Go Back to Query Report Scheduler.
  7. Next choose Report Manager and click on the report name, CW_ACCT_DATA.
  8. On the next page choose CW_ACCT_DATA.pdf to see the results.
