Additional Reporting

The Office of the University Registrar supports faculty, staff, departments, and schools by providing data related to student enrollment, degrees and credentials, as well as the course catalog and schedule of classes. This data can be obtained through different systems. Tableau, a data visualization tool, can be used to view and filter student records data. For more Tableau resources and information, see About TableauSIS, the Student Information System, has existing PDF reports and queries. See options below grouped by category.

Advisor/Advisee data can be found in the following places:

Tableau 

  • SIS - Student Records folder
    • Advisor_Advisee Information - An advisor's advisees by term. An unduplicated list of advisees with email addresses that can be downloaded for use for promotion/tenure, etc. A count of advisees assigned to each advisor is also available.

SIS (PDF Reports)

  • Reporting Center Tile > Admin Center Reports > Reports 
    • CW_ADVISEES - all active students by academic plan and all of their advisors.
    • CW_ADVISOR1 - all currently active advisees for an advisor by prompted advisor ID.
    • CW_ADVISORS - all advisors within a department (academic organization) and all currently active advisees.

SIS (Queries)

  • Reporting Center Tile > Advising Reports
    • CW_SR_ADVISEES_ENRL_APPT - registration dates (enrollment appointments) of advisees by enrollment term.
    • CW_SR_ADVISEES_W_HOLDS - advisees with holds and their advisor.
    • CW_SR_ADVISEES_W_INCOMPLETES - advisees with incompletes.

Awarded Degrees and Certificates and Degree and Certificate Candidates data can be found in the following places:

Tableau 

  • General Institutional folder >
    • Degrees - Aggregate counts of degrees awarded by academic year since 2008-09.
  • SIS - Student Records folder >
    • Awarded Degrees/Certificates - Student-specific data showing degrees and certificates awarded since August 2008.
    • Degree/Certificate Candidates - Student specific data showing active degree- or certificate-seeking students who have an expected graduation term.
      • Degree/Certificate Candidates by Degree - An unduplicated list by degree/certificate.
      • Degree/Certificate Candidates by Plan - This report contains cumulative GPA, cumulative units earned, and degree checkout status and includes all plans.
      • Degree Candidates by Subplan - Includes only students who have a subplan.
      • Download Friendly - A download-friendly version of the By Degree report. 
    • PGP/EE Folder >
      • Awarded Degrees/Certificates - Post Graduate Planning - degrees and certificates awarded by the university since August 2008. It includes email addresses and phone numbers. This report is only available to users in the Post-Graduate Planning and Experiential Education Office.
      • Degree/Certificate Candidates - Post Graduate Planning - Active degree- or certificate-seeking students who have an expected graduation term. This report is only available to users in the Post-Graduate Planning and Experiential Education Office.
        • Degree/Certificate Candidates by Degree - An unduplicated list by degree/certificate.
        • Degree/Certificate Candidates by Plan - Includes all plans. 
        • Degree Candidates by Subplan - Includes only students who have a subplan.
        • Download Friendly - A download-friendly version of the By Degree report. 

Enrolled Students/Student Schedules data can be found in the following places:

Tableau 

  • SIS - Student Records folder > Student Information Report
    • Academic Plans with Hours and GPA  - Enrolled students by term with active plans, enrolled hours, cumulative hours and cumulative GPA.  
    • Subplans - Enrolled students who are active in plans. 
    • Advisor Info - Enrolled students with all assigned advisors.
    • Classes Taken - All classes taken by students.  Includes students who have graduated.

SIS (PDF Reports)

  • Reporting Center Tile > Admin Center Reports
    • CW_SCHED_ DPT - student schedules by department.
    • CW_SCHED_ID - student schedules by student ID.
  • Reporting Center Tile > Advising Reports 
    • CW_FYADV_SCH - first year advisees' schedules with grades.

SIS (Queries)

  • Reporting Center Tile > Admin Center Reports
    • CW_SR_ENRLD_HRS_GPA - enrolled students by prompted term and academic program or plan with student ID, net ID, class standing, enrolled hours, cumulative hours and cumulative GPA.

Schedule of Classes data can be found in the following places:

Tableau 

  • General Institutional folder > Schedule of Classes 
    • Schedule of Classes - Class schedule by term.
    • SOC with Degree Requirements - Class schedule by term, including undergraduate degree requirements, such as SAGES departmental seminar and global and cultural diversity.
    • SOC with Class Notes - Class schedule by term, including class notes.
    • SOC with Class Attributes - Class schedule by term, including class attributes and class attribute values.

SIS (PDF Reports)

  • Reporting Center Tile > General Reports > Reports
    • CW_SOC_SUMM - Class search by term and, optionally, subject, career, academic group, and/or academic organization. Results show dates and times classes are offered, room, instructor, enrollment capacity and total enrollment for the section and combined sections.
  • Reporting Center Tile > Schedule of Classes Reports > Reports
    • CW_SOC_ERROR - Errors and warning messages for the SOC Schedulers
    • CW_SOC_XLIST - Cross-listed sections report

SIS (Queries)

  • Reporting Center Tile > Schedule of Classes Reports > Queries
    • CW_SR_SOCWC_ERROR - Errors and warning messages for the SOC.  This will return the same results as CW_SOC_ERROR but returns the results on the screen and contains a link to the section containing the error.
    • CW_SR_SOC_SUMMARY_RESULTS_BIP - Class search by term and, optionally, subject, career, academic group, and/or academic organization. Results show dates and times classes are offered, room, instructor, enrollment capacity and total enrollment for the section and combined sections. This returns the same results as CW_SOC_SUMM but may be more easily downloaded to Excel.

Course Data can be found in the following places:

Tableau 

  • General Institutional folder > Course Summary by Department 
    • Course Summary by Subject - total student enrollment for each subject as of the third week of classes during the Fall and Spring semesters and as of the fifth week of classes during the Summer term.
    • Course Summary by Class - total student enrollment for each class as of the third week of classes during the Fall and Spring semesters and as of the fifth week of classes during the Summer term.
    • Download Friendly - a download friendly version which works better with Excel.

SIS (PDF Reports)

  • Reporting Center Tile > Schedule of Classes Reports > Reports
    • CW_CRSE_INFO - Basic course information for a range of terms including the subject, catalog number and instructors of a course.

SIS (Queries)

  • Reporting Center Tile > Schedule of Classes Reports
    • CW_SR_CRSE_LAST_TAUGHT - this query returns the last time a course was taught and had enrollment.  This will only be 100% accurate back to Summer 2008 when SIS was implemented as course enrollment prior to Summer 2008 is not complete in SIS.
    • CW_SR_LAST_TAUGHT - course offerings by subject with last term the course was offered.

SIS (PDF Report for one student)

There are three ways for users who have access to the Departmental Admin Center to access the Statement of Account if they have access to student financials data:

  • > Campus Community > Statement of Account (Admin), then search for a student.
  • > Campus Community > Student Services Center, then search for a student, then click Statement of Account in the Finances section of the page.
  • > Campus Community >Departmental Admin Center, select the plan(s) you wish to view, then click View Students.  When the results grid appears, click the Additional Info tab, then click Statement of Account.

SIS (PDF Report for a group of students)

  • Reporting Center tile >Admin Center Reports > Report Scheduler
    • CW_ACCT_DATA - student account data.

Running this report for the first time requires the creation of a new run control.

  1. Click the Add a New Value tab and enter a Run Control ID and click Add.
  2. Enter the report name, CW_ACCT_DATA. You will be prompted for the Term. You may also enter Program and/or Plan and click OK.
  3. When you've added your prompt value(s), click Run.
  4. Click OK and then Process Monitor. You should see the report processing.
  5. Click Refresh until the Run Status changes to Success and the Distribution Status changes to Posted.
  6. Scroll to the bottom of the page and click Go Back to Query Report Scheduler.
  7. Next choose Report Manager and click on the report name, CW_ACCT_DATA.
  8. On the next page choose CW_ACCT_DATA.pdf to see the results.
