Name Change
To request a legal name change, please use these Name Change guidelines.
Preferred Name
The university recognizes that many of its students use names other than their legal names to identify themselves. As long as the use of this different name is not for misrepresentation, the university offers the opportunity to use a chosen name (known as a preferred name in the Student Information System) in addition to a legal name (known as the primary name in the Student Information System). Email Addresses
Email addresses may be added or updated in SIS by going to Profile > Contact Details.
You may also create a preferred firstname.lastname@case.edu address. Please see [U]Tech's Preferred First.Last Web Tool for further information.
Note: Only students with active affiliations will have an active @case.edu email address. In order to have student status, you must be officially registered for classes. Within 24 hours after you register, your status will be updated to reflect your student affiliation with the university. If your student affiliation has lapsed, you will only be able to forward your CWRU e-mail to another account. For more information on email forwarding, please see help.case.edu.
Addresses
Add or Change Address
The following address types are available to add or update in SIS:
- Permanent Address
- Local Address - your current address where you can be reached in the event of an emergency
- Billing Address
- W2 Override Address - the address to which your W2 tax form should be sent, if different than permanent address
- Diploma Address - the address to which your diploma should be sent

If you live in a residence hall or fraternity/sorority house, questions regarding changes to residence hall addresses and telephone numbers should be directed to Housing, Residence Life & Greek Life.
If you are an international student, questions regarding changes to Foreign address should be directed to the VISA Office.
Faculty and staff address changes are made in HCM.
Address Verification
Address Verification is used in SIS to verify and standardize domestic (U.S.) address information based on the USPS guidelines.
If you chose to override the Address Verification, a dot (.) will be added to your address indicating that it has been overridden and should not be verified by the overnight process.
Phone Numbers
Phone numbers may be added or updated in SIS by going to Profile > Contact Details.
If you live in a residence hall or fraternity/sorority house, questions regarding changes to residence hall telephone numbers should be directed to Housing, Residence Life & Greek Life.
Faculty and staff phone number changes are made in HCM.
Gender/Gender Identity
Gender identity describes an individual's personal sense of their gender. A person’s gender identity may or may not be the same as what they marked as gender on their application to the university. This is optional, and you may add, change or remove this value at any time. Your gender identity selection will be visible to:
- Advisors
- International Affairs
- Division of Student Affairs (University Health and Counseling Services, Residence Life, Greek Life, etc.)
- Other university administrators

If there is an error on your record or you would like to make an update to the gender recorded for you in SIS please submit this form.
Pronouns
People may use different personal pronouns in various contexts. This includes using no pronouns or only using one’s name. It can be changed as many times as a student needs. This is optional, and you may add, change or remove this value at any time. Your personal pronoun selection will be visible to:
- Advisors
- Instructors
- International Affairs
- Division of Student Affairs (University Health and Counseling Services, Residence Life, Greek Life, etc.)
- Other university administrators
At this time, personal pronouns will not be visible in Canvas.

Ethnicity
To comply with governmental record-keeping and reporting requirements, students are invited to voluntarily self-identify their race or ethnicity. The information obtained will be kept confidential and will only be used in accordance with the provisions of applicable laws, executive orders, and regulations. When reported, data will be aggregated and will not identify any specific individual. For further information, see Integrated Postsecondary Education Data System (IPEDS).
Follow these instructions to add or edit your ethnicity details. Note: Employees must update their ethnicity information in HCM. If the race/ethnicity fields are unavailable to you, please contact Human Resources for assistance. Changes made in HCM will appear in SIS within 24 hours.

Privacy Restrictions
Directory information may be restricted or unrestricted in SIS by going to Profile > Privacy Restrictions.
If you apply this restriction, your name and other information will not appear in the university directory.
