Hold Course Meetings
All faculty-led study abroad program participants must be students enrolled in the course for credit. Faculty-led study abroad programs must adhere to CWRU course governance, including credit and contact hour definitions, as approved by the Faculty Senate.
Programs with travel during winter break, spring break, and spring (May abroad) conduct pre-departure and post-return course meetings in addition to time spent abroad. Student attendance at all course meetings is critical to meet the number of contact hours required between time abroad and meetings on campus. Pre-departure meetings provide students with academic context for their time in country, gives faculty an opportunity to adequately prepare for going abroad, and improves group dynamics. Programs with travel during the summer term may have pre-departure meetings in addition to time abroad.
The Office of Education Abroad requires all students to complete health, safety, and risk management education through WorldKind Academy prior to studying abroad. This online course takes approximately two hours to complete, and we appreciate your support in communicating the importance of completing this requirement to your students.
Monitor Program Logistics
In the months and weeks leading up to program travel, faculty are responsible for updating and finalizing many of the program logistics. This includes, but is not limited to:
- Updating program itinerary and sending a final copy to the Office of Education Abroad
- Ensuring payment to vendors
- Reviewing student flights, passport, and health information in Terra Dotta
- Registering travel with the Smart Traveler Enrollment Program through the U.S. Department of State and Case Western Reserve University
Attend a Faculty Risk Management Training
A top priority is to ensure that faculty and students are safe on all CWRU study abroad programs. As a faculty or staff member taking students abroad, it is important to know how to minimize risks, manage crises, and keep students safe. To that end, the Office of Education Abroad offers Risk Management training for faculty leaders and individuals in a leadership or assistantship role on any CWRU study abroad program. In accordance with the CWRU International Travel Risk Management Policy, all faculty leaders are required to register their international travel with the university and encouraged to register their travel with the Smart Traveler Enrollment Program.
