Lockers, Instrument Loans & Supplies

The Department of Music provides lockers, instrument loans, and equipment storage to support students participating in music ensembles and music education courses. The information below explains how to request a locker, borrow department instruments, purchase or rent supplies, and prepare for the end of the academic year.

Reserve a Locker

Who Can Request a Locker?

Music Majors
  • Music majors receive priority for locker assignments August 1–10.
  • Lockers are assigned for primary instruments and Music Education methods classes.
  • Historical Performance Practice graduate students may request instrument lockers in Haydn Hall throughout the academic year.
Ensemble MembersBeginning August 10, eligible CWRU students participating in Department of Music ensembles may request available lockers throughout the academic year.

Locker Policies

Assignments
  • Locker assignments are based on the storage needs of your primary instrument.
  • Assignments are made during Discover Week, before the start of classes.
  • Unauthorized lockers will be emptied.
Second LockersStudents may request a second locker after the Drop/Add period, subject to availability.
Combination LocksUse only the combination lock issued by the Department of Music.
Duration or
Vacating Early
  • Locker assignments remain active for the academic year.
  • Lockers must be vacated by the Monday following spring final exams.
  • If you vacate your locker early, notify music+facilities@case.edu.
  • Locks and personal belongings left behind will be removed.
Keeping Your Locker Clean
  • Remove trash regularly.
  • Do not store food or other perishables.
  • Do not decorate lockers with posters, stickers, markers, fabric, or other materials.
Sharing LockersLocker assignments are for individual use only. Students may not share lockers or provide access to another student.
Loss or DamageThe Department of Music and Case Western Reserve University are not responsible for lost or damaged personal property stored in lockers.
Prohibited Items

The following may not be stored in music lockers:

  • Food or perishable items
  • Alcohol, drugs, tobacco products, or vaping devices
  • Weapons, explosives, or combustible materials
  • Any items prohibited by the Student Code of Conduct
Violations

Students will receive one written warning for minor policy violations. Failure to comply may result in loss of locker privileges.

Possession of prohibited items may result in immediate termination of the locker agreement and referral to Campus Police.


Borrow an Instrument or Equipment

Instrument Availability

The Department of Music maintains a limited inventory of instruments and equipment for ensemble participation and other approved academic purposes.

Equipment Use

Department instruments and equipment may not be used for personal, public, or external events.

Use of department equipment for a CWRU-sponsored event requires prior approval from Nicholas Strawn.

Instrument Approval Process

Nicholas Strawn coordinates all instrument loans in consultation with the appropriate ensemble director.

Purchase or Rent Instruments & Supplies

Need an Instrument or Supplies?

The Department of Music cannot always provide instruments or accessories. Students are encouraged to purchase or rent instruments and supplies through one of the recommended vendors below.

Rettig Music offers instruments, accessories, and specialty supplies with delivery directly to Denison Hall.

Ordering Instructions

  1. Search or select Shop (do no use Shop by School).
  2. Select Deliver to School during checkout.
  3. Leave Ship to a different address unchecked.
  4. Choose Case Western Reserve as the delivery destination.
  5. Orders will be delivered to Denison Hall, and you will be notifed when they are ready for pickup.

Returns, Renewals & End-of-Year Procedures

Instrument Returns & Renewals

At the end of each semester, Nicholas Strawn will contact students with active instrument loans regarding renewal or return procedures.

Before returning an instrument:

  • Clean and sanitize the instrument.
  • Oil or grease moving parts as needed.
  • Return all accessories.
  • Remove all personal belongings from the case.

Locker Cleanout

Fall Semester
Locker Cleanout
Lockers must be emptied and cleaned by 5:00 p.m. on the Monday following final exams.
Spring Locker Cleanout
  • Lockers must be emptied by 5:00 p.m. the day after final exams.
  • Graduating students may keep lockers until 5:00 p.m. on the Monday following Commencement.
  • All combination locks are changed annually. Any remaining personal belongings will be discarded.

Building Access

Returning Music Majors

  • Card access automatically renews each academic year and includes summer access.

Returning Non-Majors

  • Building access expires after spring grades are submitted.
  • Submit the Music Building Access Request during final exams if summer access is needed.
Summer Lockers

Students living on campus, enrolled in summer classes, or with other approved circumstances may request a summer locker. 

Submit a new Locker Request Form and select Summer Term Extension.
