Lockers + Instruments and Equipment

The Department of Music provides lockers in a variety of sizes to accommodate the storage of instruments as well auxiliary equipment, and academic materials. 

Continuing below for borrowing instruments and year-end closing procedures.

Reserve a Locker

Music Majors
  • Applications are limited to music majors ONLY from August 1 – 10 for their primary instrument or music education methods classes.
  • Historical Performance Practice graduate students can request instrument lockers in Haydn Hall at any time during the academic year.
Ensemble Members
  • Eligible CWRU students in department ensembles may apply for a locker beginning August 10 and through the academic year.

Locker Policies

Assignments
  • Lockers are assigned based on the storage needs of the primary instrument.
  • Any locker found occupied without authorized assignment will be cleared out.
  • Assignments are made at the beginning of Discover Week, the week before school starts, to ensure that student instruments have a safe storage location as soon as they arrive on campus.
Secondary Lockers
  • Students may apply for a second locker after the drop/add period.
  • Limitations may apply due to low inventory.
Combination Locks
  • Students must use the combination lock provided to them by the department. 
Duration or
Vacating Early
  • Locker assignments are made for the entire academic year and must be vacated by the Monday after final exams in the spring semester. 
  • Students should email music+facilities@case.edu if they vacate a locker early.
  • Locks or contents left behind will be permanently removed.
Keep them clean!
  • Lockers should be kept free of trash or other debris.
  • Posters, fabric, markers, stickers, etc. may not be used to decorate lockers.
Loss or
Damage
  • Neither the Department of Music or Case Western Reserve University are responsible for the loss/damage of personal articles stored in music lockers.
Sharing Access
  • Students are not allowed to share/gain access to a locker that has been issued to another student. (at any time for any reason) 
Prohibited Items
  • Food, drink, or other perishable materials.
  • Illegal articles include dangerous weapons and combustible or explosive devices. 
  • Drugs, narcotics, alcohol or other controlled substances and tobacco products or smoking devices.
Violations
  • Students will receive one written warning to address minor infractions. If no action is taken, the locker will be revoked.
  • Prohibited items (defined in the Student Code of Conduct) found in a locker will be surrendered to campus police and the student will be reported.
  • Violations may result in the immediate termination of the locker agreement.

Transporting Equipment
  • Property of the Department of Music is not available for public use or external events.
  • The use of equipment for a campus event requires authorization from Nicholas Strawn.
Approving Authority
  • Nicholas Strawn, will facilitate the authorization process and loan contract after consulting with the appropriate inventory manager (ensemble director).
    • Brass/Woodwind: Dr. Ryan Scherber

    • Strings/Harp: Dr. Kathleen Horvath

Purchasing or Renting Instruments and Supplies

Availability
  • The Department of Music is not always able to provide instruments or accessories for various circumstances.
  • If there is need to use an instrument and/or purchase supplies for personal instruments, there are numerous local music stores that the Department recommends to contact.
Preferred Online Store
  • Rettig Music: Any items purchased online through their store can be delivered to Denison Hall. Website Link: Rettig Music 
    • Rettig Music is a local music store that sells a wide variety of music instruments, accessories, and specialty supplies throughout Ohio. Items purchased on their website can be delivered to an address, as well as directly to the Music Department in Denison Hall.
    • On https://rettigmusic.com, start with search or “Shop” in the menu.
      • Do not use "Shop By School”.
    • In the cart, select “Deliver to School” in the shipping dropdown.
      • In checkout, leave "Ship to a different address” un-checked.
    • Select “Case Western Reserve” in the "Select Destination” dropdown.
    • Once the order is placed, it will be delivered to Denison Hall and a representative from the Department will contact the recipient for pickup.

    • Cleveland Violins is local store that specializes in string instruments, accessories, and supplies. They have instruments available to purchase or rent, accessories available purchase, and provides repair services for string instruments.

    • Academy Music is a local store that provides services for band and orchestra instruments. They have instruments available to purchase or rent, accessories available purchase, and provides repair services for all instruments.

Returns/Renewals and Closing Procedures

The information below pertains to all music majors and ensemble members with instruments or lockers, and students interested in summer access.

Returns or Renewals

Fall + Spring Terms:

  • Nicholas Strawn will reach out to students with active loan contracts at the end of each term to process returns or renewals. 
  • All instruments must be cleaned, oiled/greased as needed, possess all accessories and sanitized mouthpiece, and cases should be emptied of personal items.
Fall Locker Cleanout
  • Students should have locker(s) emptied and cleaned out by 5:00 PM on the Monday following the end of final exams.
  • Do not leave any food behind!
Spring Locker Cleanout
  • Students should have locker(s) emptied and cleaned out by 5:00 PM on the day after final exams.
  • Graduating students can keep locker(s) until 5:00 PM on the Monday following Commencement.
  • Do not leave any food behind!
  • All combo locks will change at the end of the academic year and any personal items left behind will be thrown out.
Secure Storage Access
  • Access to lockboxes and storage rooms will expire for all students at the end of the academic year.
  • Request secure access to controlled rooms, studios, or storage areas by submitting the Responsible Use & Security Awareness Agreement.
Summer Term
  • Returning music majors: card access automatically renews each academic year and includes summer access
  • Returning non-majors: case access expires after final grades are due
  • Request summer building access by submitting the Music Building Access Request during final exams. (non-majors only)
  • Students living on campus, taking summer courses at CWRU, or with other extenuating circumstances, may request a summer term locker by submitting a new Locker Request Form. Please select "Summer Term Extension."
