Music Office Assistant & Student Ambassador

Eligibility: Open to all CWRU students. Students with interests in music, business, marketing, communications, or arts administration are especially encouraged to apply.
Position Overview
The Music Office Assistant & Student Ambassador role combines administrative support, marketing and communications work, and student-facing ambassador responsibilities. Students in this position contribute to the daily operations of the Department of Music while also serving as welcoming, knowledgeable representatives for prospective students, families, and visitors.
This role is ideal for students interested in gaining experience in arts administration, event coordination, and music-related marketing, while developing strong communication and leadership skills.
Responsibilities
Office & Administrative Support
- Greet and assist students, faculty, staff, and visitors
- Answer phones and emails; provide accurate information or route inquiries as needed
- Maintain office organization, files, and calendars and shared supplies
- Assist with clerical tasks such as copying, scanning, and filing
- Prepare materials for meetings, classes, and departmental use
Marketing & Communications
- Assist with promotion of concerts and events (posters, digital signage, social media, and email)
- Support CampusGroups updates, event listings, and departmental announcements
- Help distribute promotional materials across campus
- Contribute to content creation and marketing initiatives
Student Ambassador & Recruitment
- Represent the Department of Music at open houses, audition days, campus tours, and information sessions
- Share personal experiences and connect prospective students and families to resources
- Provide tours of music facilities and answer questions about academics, ensembles, and student life
- Assist with Music Overviews, student panels, and recruitment events
Event Support
- Assist with special events, including set-up, check-in, and hospitality
- Support Recital Class by creating programs, taking attendance, and notes
- Help coordinate supplies, schedules, and communications
Schedule & Hours
- Office Assistant shifts: Scheduled during weekday business hours to provide consistent office coverage, with occasional evening or event-based shifts. Availability is required during Recital Class, which meets on select Fridays during the exam block.
- Student Ambassador shifts: Scheduled on a flexible, as-needed basis, including occasional weekends, depending on recruitment events and departmental activities.

Music Operations + Events Team

Description
Provide support services for facilities operational activities, ensemble rehearsals, and/or concerts. Follow/enforce policies, ensure smooth building operations, lock/unlock rehearsal rooms, conduct room checks, assist backstage during concerts, communicate with concert guests, and assist with projects as needed.
Hours
Flexible afternoon, evening, and weekends as scheduled. Regular weekly shifts are scheduled for the entire semester, typically 4-8 hours per week. Live concerts and events will supplement the regular weekly hours, up to an additional 4-8 hours per week during peak performance season. Hours vary depending on the calendar of events and staff availability.
Who We're Looking For
Motivated students to assist with daily operations (weekly rehearsal set-up/breakdown, building security, etc.) and to support live events (stage management, front/rear of house duties, guest experience, etc.). Team members must enjoy working with the public, demonstrate excellent customer service skills, and understand performance etiquette. This position requires leadership, responsibility, professionalism, dependability, and punctuality. Team members must remain on-site for the entire assignment, wear appropriate attire, and have a welcoming presence.
AV Technician

Description
Provide audio recording and live stream services for ensemble concerts, student recitals, and recording sessions. Move equipment during events, demonstrate equipment to users, and complete post-production work. Coordinate weekly (with supervisor) for assigned work and provide updates on completed work. Students may pair this position with the Operations/Events Team or Computer Lab Monitor.
Hours
Flexible evenings and weekends (cover events as needed). Events are typically more frequent toward the end of each semester (Fall: Oct-Dec/Spring: March-May). Time commitment per concert or recital is approximately 2-4 hours.
Who We're Looking For
Reliable students eager to learn (knowledge of fundamental recording techniques is preferred but not required). This position is responsible for setting up, installing, operating, testing, and troubleshooting audio microphones, speakers, projectors, monitors, recording equipment, and cables/wires. With guidance from the professional audio engineer, students will perform proper line and sound checks (volume settings, comping, mixing, and mastering), adjust levels as needed, note any faulty/broken equipment, organize equipment for the next service, and properly clean/store equipment. This position requires responsibility, professionalism, dependability, and punctuality. Individuals must work independently, keep an accurate schedule, arrive on time, meet deadlines, prioritize jobs, and interact with the general public, students, faculty, and other staff members.
