Effort reporting cycle open: Review procedure and key deadlines

The effort reporting cycle is now open for:

  • Second half 2025 (January-June 2025) 12-month appointment
  • Spring 2025 (January-May 2025) 9-month appointment

In order to be compliant with federal regulations, effort reports must be completed by all faculty, staff, postdocs, and students participating in sponsored projects by Nov. 17, 2025.

Completing effort reporting is a joint responsibility of department administrators and the individuals needing to certify their effort. 

Effort Reporting Procedures

  1. Review and update the initial effort reports available on Spiderweb.
    • Effort data may be verified utilizing reports in HCM or the data lake. If you do not have access to these reports, contact effort@case.edu so we may help you get access. 
    • Complete the Third Party Pay section for your department (if applicable). 
    • Communicate any departmental changes to us as they pertain to those responsible for completing effort reporting requirements so that we can update our records. 
    • If a person is no longer on sponsored projects, inform us so we may remove them from the system. 
  2. After the report is reviewed and updated as appropriate, release the report to the faculty, staff, postdocs or students. After an effort report has been released, an automated email notification will be sent to each individual stating that the effort report is ready for verification and certification.
  3. After releasing the effort, review Spiderweb weekly to see if individuals have completed certification and send reminders to those who still need certification. 
  4. Weekly click on the pink variance box on the front page for your department so you may work with effort staff to address variances. Variances must be addressed and resolved by Feb. 17, 2026, for this cycle.
