Final Invention/Patent Reporting Procedures

To ensure compliance with federal regulations and to protect intellectual property rights, Case Western Reserve University has established comprehensive procedures for final invention/patent reporting. All university employees engaged in sponsored projects must follow these procedures.

The CWRU Office of Research and Technology Management has outlined the steps involved in the final invention/patent reporting process, by sponsoring agency:

  • Department of Defense (DOD): Submission of Form DD882 by the principal investigator (PI) to Joel Morales (jcm215@case.edu). The PI must verify any previously reported inventions and complete a negative report if no inventions are disclosed. Any discrepancies between the PI's information and the Technology Transfer Office's records will be resolved.
  • Department of Energy (DOE): The PI must complete the Patent Certification Form DOE F2050-11 and submit it to Financial Compliance. Verification of previously reported inventions is required, and a negative report should be completed if no inventions are disclosed. Any discrepancies between the PI's information and the Technology Transfer Office's records will be resolved.
  • National Aeronautics and Space Administration (NASA): Submission of the NASA New Technology Summary Report Form through NASA's Technology Reporting System by the PI to Financial Compliance is necessary. The PI must verify any previously reported inventions and complete a negative report if no inventions are disclosed. Any discrepancies between the PI's information and the Technology Transfer Office's records will be resolved.
  • National Institutes of Health (NIH): The PI must submit Form HHS568 via eRA Commons. Verification of previously reported inventions is required, and a negative report should be completed if no inventions are disclosed. Any discrepancies between the PI's information and the Technology Transfer Office's records will be resolved.
  • National Science Foundation (NSF): There is no requirement for a Final Invention Statement and Certification.
  • Office of Naval Research (ONR): The PI must submit DD Form 882 – Report of Inventions and Subcontracts to Financial Compliance. Verification of previously reported inventions is required, and a negative report should be completed if no inventions are disclosed. Any discrepancies between the PI's information and the Technology Transfer Office's records will be resolved.

Upon completion of the reporting process, the Technology Transfer Office will provide institutional approval of the final invention disclosure. The finalized disclosure will be submitted via the method stated in the award terms and conditions.
