The new system for the submission, management, and tracking of sponsored projects at Case Western Reserve University (CWRU) is SPARTA Grants. This system replaces SPARTA Pre, which has read-only access.

SPARTA Grants 10.5 upgrade to go live Aug.14; training sessions available

The Office of Research and Technology Management has been preparing for the implementation of system upgrades for SPARTA Grants 10.5 at Case Western Reserve University.
All SPARTA Grants 10.5 modules will go live at 9 a.m. Monday, Aug. 14. Training materials are available beginning Thursday, Aug. 10.
In preparation for the switch, both SPARTA Grants and Agreements systems will go offline beginning Friday, Aug. 11 at 5 p.m. All draft proposals will remain in draft form and will be available upon completion of the upgrade. All budgets will default to percentages prior to the upgrade and those in draft will be editable upon upgrade and you can change the percentages on those draft budgets to months.
Your management center will communicate your deadlines for the week prior to go live.
Upgrade details
SPARTA Grants 10.5 will be familiar to current users of the SPARTA Grants as this is a minor upgrade only. However, it includes some significant updates, and the system should function more smoothly so you can submit funding proposals and track their journey through the system. Some of the noticeable changes include the following:
- Budgeting can now be done in either percentages or calendar months; and
- Export control questions have been modified.
SPARTA Grants 10.5 training and live assistance
The Office of Technology and Research Management is preparing training and support options to help ensure that this upgrade to SPARTA Grants is implemented as smoothly as possible.
Open house trainings will be held:
- Thursday, Aug. 10, from 3 to 4 p.m. in Sears Library Building, Room 670 (and via Zoom)
- Tuesday, Aug. 15, from 11 a.m. to noon in Sears Library Building, Room 670 (and via Zoom)
Drop-in session dates and times are also available:
- Wednesday, Aug. 23, from noon to 2 p.m. via Zoom
- Tuesday, Aug. 29, from 11 a.m. to noon via Zoom
- Thursday, Sept. 7, from 3 to 4 p.m. via Zoom
- Tuesday, Sept. 12, from noon to 1 p.m. via Zoom
The Canvas site for on-demand training videos, slide decks and training videos posted on the university’s YouTube page also will be available soon.

Register for live Zoom training. New training sessions will be added as they become available. Please complete your registration at least one hour before the session starts.
Canvas Training Site
Navigating SPARTA Grants is available on the Canvas Training Site. This site provides guidance to aid you in completing and managing a new funding proposal. Updates to this site will occur regularly with new topics and materials. Log in with your CWRU Network ID and passphrase here.
All materials can be found on the modules page.
- Each module includes a video walk-thru of the SPARTA Grants system with corresponding pages and a slide version for your reference.
- To change the quality of your video, press the settings icon (
