Spring Move Out Information

As the end of the another academic year comes to a close, it is time for students to start planning their move-out.

Important End of Semester Dates

  • April 27: Classes end
  • April 28-29: Reading days
  • April 30: Late Night Breakfast, 8:30 - 10:00 pm, Leutner and Fribley Dining Commons
  • May 1: Final exams begin
  • May 1: Extension requests due
  • May 7: Final exams end
  • May 8: Residence halls close at 3 p.m. (except for students participating in Commencement and/or those with approved extensions)
  • May 17: University Commencement
  • May 18: Residence halls close for all remaining spring residents at noon

All first-year, second-year, and third-year students, as well as non-graduating seniors, must vacate their residence hall rooms within 24 hours of their last exam, whenever possible. Residence halls close on Friday, May 8 at 3 p.m., except for students participating in commencement, who have spring transition housing, or those that have approved extensions.

SHERMAN & TYLER HOUSE RESIDENTS

Due to a summer renovation project, all residents of Sherman and Tyler houses will need to move out by Friday, May 8 at 3:00 pm. No extensions will be approved for these residents. Residents staying for summer housing will move to their summer assignment on this day.

Housing Extension Request

Students who need to remain on campus after Friday, May 8 and are not moving into summer housing must complete a request for an extension by Friday, May 1, through MyHousing (under My Assignments). Housing extensions will automatically be granted through Sunday, May 10, 2026, at 9 p.m. Students will be charged $50/night for their room as an extension of the academic year contract. Extension charges will be reflected on your student account as a normal housing charge. You won't be charged if you move out by May 8.

Students working in an official capacity at commencement will need to sign up through that office. We will receive an approved list of students who will receive a housing extension until noon on Monday, May 18, 2026, and update your checkout date.
 

Graduating Seniors

All seniors graduating in May 2026 have a checkout date of May 18, 2026 at 12 pm (noon). Please check MyHousing to verify your checkout date. If your are graduating in Summer or Fall 2026 and participating in commencement, please contact us (housing@case.edu, 216-368-3780). We will update your checkout date once confirmed.

There are no extensions past this date and time. Please plan accordingly.
 

Dining Operations

Residential dining in Fribley and Leutner Commons ends on Thursday, May 7 at 2:30 p.m. Please return any dishes, silverware, and glasses to the dining commons prior to their closing dates.

Checking Out of Your Room

  • Report any maintenance issues through MyHousing.
  • Take trash to the dumpster.
  • Check all drawers and closets for items to pack.
  • Clean your room! Leave it in better condition than when you moved in.
  • Empty, clean & defrost mini-fridge.
  • Close and lock all windows.  Close blinds.
  • Turn off all lights
  • After ALL of your belongings have been moved out of your room, complete the Self-Checkout on MyHousing.
  • Enter a mail forwarding address through MyHousing (My Details).

For residents in rooms or units with additional keys:

  • Complete and turn in a SIGNED Checkout Envelope at the Checkout Box in your building or community.  Insert your key/keycard in the envelope.
    • Checkout Envelopes can be found near the Checkout Box.
  • After ALL of your belongings have been moved out of your room, complete the Self-Checkout on MyHousing.

 

Damage & Cleaning Charges

The Offices of University Housing and Residence Life reserve the right to conduct a final check of all rooms, suites, and apartments after residents have checked out to assess condition and damages. If damages are assessed to your room, suite, or apartment, you will be sent an email indicating the nature and amount of the damages, as well as the appeal procedure for contesting charges. This email will be sent to your university email account and is the only notification you will receive.

Cleaning & Maintenance

Trash bags will be provided in each building lobby. Please remove all trash from your room, recycle any items you can, take trash bags to the dumpsters, and clean out your residence hall common room refrigerator. Students will be assessed a damage fee to discard carpet, non-university furniture, or if a room/suite/apartment requires extra cleaning. Charges will be added directly to your account. Recycling bins should be used for paper waste, glass, cans and plastic. Dumpsters will be located throughout the North and South Residential Villages during the week of finals.

Bike Removal Notice

All bikes must be removed from the buildings and outside residential areas no later than Monday, May 18. Any bikes left after this time will be discarded. Students staying for summer housing should get a tag from the area offices to put on their bike to avoid it being discarded.

REScycle

Residents will have the opportunity to donate unwanted items through our ResCycle program. We are excited to partner with Goodwill to assist with our donation collections. Starting on April 27, donation boxes will be available in the lobby of your residence halls. Students can donate the following:

  • clothing
  • household items
  • small appliances
  • books
  • kitchen supplies
  • school supplies.

Note: Wrap sharp (e.g., knives) and fragile items to prevent injury or damage.

To donate large items such as furniture or mini-fridges, please submit a maintenance request (put #RESCycle in the comments section), and it will be removed from your room. Please label the item RESCycle so our staff knows which item to take.

Residents who fail to complete this process for any items left behind in the residence halls will incur a removal charge.

Moving Out of the South Residential Village

Murray Hill Residents

Lot 44 (across from Fribley Commons) will be available for you and your family and friends to park while moving out your belongings. Starting on Friday, May 1, carts will be available for checkout at the SRV Area Office in Fribley Commons. You must use the crosswalk to move your items to the parking lot. Please load your items quickly and leave the lot as soon as you are finished.

Do not pull your car into the service driveway or into the courtyard. Vehicles in these locations may be towed.

Carlton Road Residents

Carts will not be available. Load vehicles in lot 57, behind the residence halls.

Parking During Move Out

Parking regulations will be enforced for the remainder of the semester, including final exam week and senior week. There is no end-of-the-semester refund for resident permits. Permits officially expire on Tuesday, May 19, at 12:01 am. Additionally, there are some changes to the operations of specific lots to help make moving out easier.

North Residential Village

Affected Lots: 4, 46, 56

Where applicable, gates will be raised. Additionally, there will be no ticketing between Friday, May 1st at 9pm (21:00) through Monday, May 18th at 12am (00:00).

South Residential Village

Affected Lots: 57

There will be no ticketing between Friday, May 1st at 9pm (21:00) through Monday, May 18th at 12am (00:00).

Affected Lots: 44, 53

There will be no ticketing between Friday, May 1st at 9pm (21:00) through Monday, May 11th at 12am (00:00). Lot 44 will be reserved specifically for student move out from May 6th to May 8th.

How Summer Storage & Moving Works at CWRU

  1. Pack & Lock - After receiving free packing supplies, pack your belongings, lock everything in your room, and leave at your convenience.
  2. Pick-Up & Store - After exams, CWRU provides the student team from Storage Scholars access to your room, so they can transport and store your items in a local, secure, and temperature-controlled facility.
  3. Delivery - Your belongings will be delivered to your new room on campus the week before classes start or they will deliver off campus on your preferred date.
  4. Shipping - Storage Scholars can ship boxes home for the summer, or to your first apartment a few months after graduation (optional).

Reminder: the university doesn’t provide moving or storage assistance, but Storage Scholars is the preferred provider for moving, storage, and shipping at Case Western Reserve University.

Summer Housing Moves

Summer assignments will be made during the week of April 27 and continue on a rolling basis. Residents in spring transition stay in their current spring assignment until they move into their summer assignment between May 14-16. Mail Service

The area office will continue to log mail and packages while you are living on campus. After you move out, mail and packages will be forwarded (if possible) to your permanent address in SIS or you can enter a forwarding address on your MyHousing page by clicking on My Details. If you would like your mail forwarded to your permanent address, we recommend that you verify that the address we have is correct. If you are not sure of your summer address or it changes over the course of the summer, you can also update your forwarding address from off-campus.

Email Communication

The university relies heavily on email communications. You should also arrange to forward your email if you will not have access to your university account. Log in to webmail.case.edu and click on "Forwarding" under mail settings to set up your university email to forward to another address.

Security

The potential for theft and other security problems increases during finals and senior week, as students move out. Remember to keep your room locked at all times and never leave valuable personal belongings unattended in your car or room. Do not prop open any exterior doors to the residence halls. It is important to remain security-conscious throughout this time. Report all suspicious behavior to the CWRU Police at 216.368.3333.
