Senior Case Western Reserve University medical students, under the guidance of faculty advisors, self-arrange the final year of medical school to meet graduation requirements. The scheduling process is student-initiated and requires students to inform the School Of Medicine Registrar when electives have been arranged with a designated hospital coordinator or a faculty sponsor.
The on-line course catalog primarily contains descriptions for clinical and non-clinical student electives at affiliated hospitals who welcome our senior students. Students who are making satisfactory progress are free to select any of the electives listed in the catalog but need not limit themselves to these alone. Other electives, particularly student-initiated, can be arranged and can count toward graduation requirements.
Senior CWRU medical students should carefully review scheduling information on the School Of Medicine Registrar website and in the course catalog to fully understand scheduling requirements.
Note to visiting medical students: These instructions do not apply to visiting medical students. All visiting medical students must apply through the Visiting Medical Student Program.
Instructions
All Clinical Electives listed in the Course Catalog (Login Required) are scheduled in 2- or 4-week blocks only and in accordance with the appropriate academic calendar. Be sure to review the following:

Step 1
Review the on-line Course Catalog. Select an elective and review the course description for prerequisite requirements (if applicable), contact information and instructions on how to make pre-arrangements for a rotation. The course codes end in a letter that references a campus location (A = UH, B = Metro, C = Cleveland Clinic, D = VA, E = St. Vincent, M = School Of Medicine). Departmental policies vary, so contact sites 5-6 months in advance to check for availability. In addition, students who have not yet completed their core clerkships should inform the coordinator.
Step 2
Students in Year 3 may begin self-scheduling on January 1 for the 2- and 4-week clinical electives and A.I.s that start before Block 1 and on February 1 for clinical electives and A.I.s that start Block 1 and after at UH, VA, CC and MetroHealth. Year 2 students may begin scheduling electives on April 1.
Step 3 (University students)
After receiving confirmation of the rotation dates, students must submit the elective in the Course Request site with a brief note in the Comments box about the pre-approval (by whom and when - something simple like, "Pre-approved by Jane Doe on 05/28/16" is all we need. Do not copy and paste an entire email message). This information is required by the School Of Medicine Registrar to enroll the student in the Student Information System, which adds the elective to the transcript. The elective must be in SIS to use the Clinical Assessment System (CAS) during the rotation. Please follow the same process when changing an existing rotation. Submit the elective in the Course Request site with a note that you were approved for the change (by whom and when).
- Login to Easel.
- In the left-hand side, click the link for Clinical.
- Follow the instructions at the bottom of the page to enter an elective request. Be sure to select the correct academic year and course code.
Step 3 (College students)
Cleveland Clinic Lerner College of Medicine (CCLCM) students must use the internal College portal to schedule all 2- and 4-week elective rotations, whether listed in the Course Catalog or not listed in the Course Catalog (Unlisted and Away). Please contact Tanya Moore for more information.
Reminders
All students must use the Clinical Assessment System throughout the clinical rotation to receive credit for the rotation and a final grade for the transcript. This includes clinical electives from the Course Catalog as well as self-arranged Unlisted Electives. See Using the Clinical Assessment System for full instructions.
An elective will be available in CAS 24 hours after the student has been enrolled in SIS. Students must add the rotation in CAS on the first day of the rotation by logging patient experiences. If the rotation is not added and a log is not started, an End of Rotation (EOR) Assessment cannot be generated and sent to the faculty assessor for a final grade.
We follow the University Calendar for the Drop/Add period, so you may notice some elective requests sitting idle in Easel. This in no way affects any arrangements you have confirmed with a department. It simply means we cannot enroll you in SIS until registration opens for the University.
